IT and Facilities Administrator

What you will be doing:

  • Report to the SBM on all H&S matters.
  • Update and maintain all Health and Safety files.
  • Liaise with contractors to ensure necessary work is booked in a timely manner.
  • Ensure their work is conducted safely and in compliance with health and safety regulations.
  • Ensure accurate and up to date H&S records are maintained.
  • Keep the School Diary Planner up to date, and assist the School Business Manager with upcoming Health and Safety requirements.
  • Maintain a comprehensive training log for all staff, ensuring they receive appropriate health and safety training and are up to date with relevant certifications.
  • Assist in the investigation and reporting of any incidents, accidents, or near misses, ensuring appropriate corrective actions are taken.
  • Assist with conducting regular checks and audits to identify potential hazards, assess risks, and implement appropriate control measures.
  • Implement and maintain health and safety policies and procedures in accordance with relevant legislation and guidelines.
  • Assist in the development and delivery of health and safety training.
  • Stay updated with the latest health and safety regulations, best practices, and industry standards.
  • Participate in emergency response drills and contribute to the development of emergency management plans.
  • Set up and maintain, new and existing data spreadsheets e.g. sickness spreadsheet, H&S spreadsheet, absence spreadsheet. Organise, analyse and prepare data reports for the SBM and Head.
  • Build and create forms for staff and parent data collection.
  • Manage and maintain the school users, email directory and website filtering
  • Manage and maintain the school’s IT systems, including hardware, software, networks, and databases.
  • Main point of contact between the school and IT provider (Schoolcare), IT helpdesk and technician.
  • Maintain the IT log to prioritise and organise the Schoolcare technician’s weekly workload.
  • Provide technical support to students, teachers, and staff for IT-related issues.
  • Troubleshoot and resolve IT problems in a timely manner to minimize disruption to teaching and learning.
  • Install, configure, and update systems like Integris and CPOMS to ensure accurate data management and reporting.
  • Help with first support on maintenance of printing and photocopying equipment. Liaise with the reprographic provider regarding issues with the photocopiers and for call outs when required.
  • Coordinate with external vendors for IT equipment repairs and maintenance. Manage inventory and procurement of IT equipment, software licenses, and facility supplies.
  • Review items that need to be disposed of and arrange for disposal in line with relevant regulation.

About you:

  • GCSEs of ‘C’ or above in Maths and English
  • Level 3 in Business Administration
  • Experience of working in a busy office
  • Ability to work effectively within a team
  • Experience of using systems for data entry and reporting
  • Experience of providing administrative support in an education setting
  • High standards of accuracy and attention to detail
  • Excellent written and verbal communication skills
  • Extensive IT skills.  Competent in Microsoft Office (Outlook, Word and Excel)
  • Strong organisation skills with a systemic approach to problem solving
  • Excellent time management skills with the ability to prioritise, plan, organise and meet deadlines
  • Organisational and time management skills with the ability to multitask in a busy office
